1 · Introduction
Rehearse Management ("the App," "we," "us," or "our") is developed and operated by Everett Anton, an individual developer based in Colorado, United States.
This Privacy Policy describes what information we collect when you use the App, how we use and protect that information, and the choices you have. By downloading, installing, or using the App, you agree to the practices described in this policy.
The App is an invitation-only scheduling and communication tool for performing arts productions. It is not a public consumer service and is not directed at children.
2 · Information We Collect
2.1 Information You Provide Directly
- Account credentials — Your email address and password. Passwords are managed exclusively by Firebase Authentication (Google LLC) using industry-standard hashing; we never store or have access to your plain-text password.
- Profile information — Your display name and your role within a production (e.g., actor, stage manager, director, technician).
- Pronouns — You may optionally provide your pronouns as part of your profile. This information is visible to other members of your production. You may update or remove it at any time from the App's settings.
- Phone number — If the production company you belong to has enabled phone number collection, you may be prompted to provide your phone number. This is used solely to populate the production's contact directory for use by authorized managers. Providing a phone number is optional; declining will not affect your access to the App.
- Conflict and availability submissions — Dates on which you are unavailable or partially available, the type of conflict (all-day, arriving late, or leaving early), an associated time, and any optional explanatory notes you choose to include.
- Announcements and messages — Content you compose and send to other production members through the App's communications features.
- Rehearsal reports — Written post-rehearsal reports created by stage managers or production managers. These may reference any member and are visible to all managers within the production.
2.2 Information Created by Production Managers
Authorized production managers may create or record the following information about you in the App:
- Your membership in a production and your assigned role(s)
- Whether you are called to specific rehearsals or set builds
- Your attendance status at rehearsals (present, late, excused, or absent)
- Conflict entries submitted on your behalf
2.3 Information Collected Automatically
- Push notification token — If you enable push notifications, your device generates a unique token that is stored and used solely to deliver notifications from the App to your device.
- Location data — If you grant location permission, the App uses your device's GPS coordinates to determine whether you are within a defined geofence around a rehearsal venue. This is used exclusively to support attendance check-in. To enable check-in without requiring you to open the App on the day of an event, geofences for upcoming rehearsals and set builds are registered with the operating system in advance. A background location event may therefore be triggered at any point between geofence registration and the scheduled event when you enter or exit a venue boundary. We do not store a history of your location data; only the result of the geofence check (inside or outside the venue boundary) is used. You may revoke location permission at any time through your device's system settings, though doing so will disable location-based check-in.
- WiFi network name (SSID) — If your production manager has configured trusted WiFi networks for a venue, the App may read the name of the WiFi network your device is currently connected to. This is used as an additional signal to verify attendance at a venue. The network name is checked locally on your device and is not transmitted to or stored on our servers.
- Firebase usage data — Google Firebase may collect basic technical information (such as device type, operating system version, and crash reports) as part of its standard infrastructure. We do not use Firebase Analytics or any advertising SDKs.
3 · How We Use Your Information
We use the information described above to:
- Authenticate your identity and provide you access to the App
- Display production schedules, rehearsal calls, set build information, shows, and generic events to authorized members
- Present your submitted conflicts to production managers for review and approval
- Record and display rehearsal attendance, including through location-based geofence check-in where permission has been granted
- Send push notifications about rehearsal reminders, schedule changes, attendance alerts, and announcements
- Enable communications between production managers and members
- Support the live show management features of the App, including real-time cue state shared across authorized devices
- Provide managers with a contact directory of production members, including phone numbers where collected
- Generate exportable calendar feeds (iCal format) for productions you are a member of
- Operate, maintain, and improve the App
We do not use your information for advertising, do not build advertising profiles, and do not sell your data to any third party.
4 · How We Share Your Information
4.1 Within Your Production
Your name, pronouns (if provided), role, schedule, and conflict information is visible to other authorized members of your production as required to fulfill the App's scheduling and communication functions. Managers have access to all member data within their production. Members can view production-wide schedules and may see which other members are called to rehearsals.
If your production company has enabled phone number collection, your phone number is visible to managers through the in-app contact directory. Managers may export this directory as a PDF document for offline use within the production. Your phone number is not visible to other non-manager members.
4.2 Service Providers
We share data with the following third-party service providers who process data on our behalf:
- Google Firebase (Google LLC) — We use Firebase Authentication for secure login and Firebase Firestore (a cloud database) to store all production, scheduling, and member data. Google processes this data under its standard data processing agreements. See Google's Privacy Policy at policies.google.com/privacy.
- Expo (Expo Inc.) — We use Expo's push notification infrastructure to deliver notifications to your device. Expo processes your device token for this purpose only. See Expo's Privacy Policy at expo.dev/privacy.
We do not share your information with any other third parties except as required by law.
4.3 Legal Requirements
We may disclose your information if required to do so by law, regulation, court order, or governmental authority, or if we believe in good faith that such disclosure is necessary to protect our rights, your safety, or the safety of others.
5 · Data Retention
We retain your personal information for as long as your account is active or as necessary to provide the App's services. If your access is revoked by a production manager, your account data may be retained in our systems unless you separately request deletion.
To request deletion of your personal data, contact us at privacy@rehearse.management. We will process your request within 30 days, subject to any legal obligations to retain certain information.
6 · Data Security
We implement industry-standard technical and organizational measures to protect your information, including encrypted data transmission (TLS), Firebase's built-in authentication security, and Firestore security rules that restrict data access to authorized users only.
No method of electronic transmission or storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.
7 · Children's Privacy
The App is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. The App requires an invitation from an authorized production manager to access, and is intended for use by adults and older teenagers in professional or semi-professional performing arts contexts.
If you believe a child under 13 has provided us with personal information without appropriate consent, please contact us at privacy@rehearse.management and we will take steps to delete that information promptly.
8 · Your Privacy Rights
8.1 General Rights
Regardless of where you are located, you may:
- Request access to the personal data we hold about you
- Request correction of inaccurate personal data
- Request deletion of your personal data
- Withdraw your consent to push notifications at any time through your device's notification settings
8.2 Colorado Residents
If you are a Colorado resident, you may have additional rights under the Colorado Privacy Act (C.R.S. § 6-1-1301 et seq.), including the right to:
- Access your personal data
- Correct inaccurate personal data
- Delete personal data provided by or obtained about you
- Opt out of the sale of personal data (note: we do not sell personal data)
- Obtain a portable copy of your personal data
To exercise any of these rights, submit a request to privacy@rehearse.management. We will respond within 45 days, with a possible 45-day extension when reasonably necessary.
8.3 California Residents
If you are a California resident, you may have rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA), including rights to know, delete, and opt out of the sale or sharing of personal information. We do not sell or share personal information as defined under California law.

9 · Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last Updated" date at the top of this page and, where appropriate, notify users through the App or by email. Your continued use of the App after any changes constitutes acceptance of the revised policy.
We encourage you to review this policy periodically.
